27 August 2012 Can u pls list me the authorities & any others who are to be informed after the shifting of registered office of a company & completion of roc formalities?

27 August 2012 Please clarify ur querry whether shifting inside city or upon juridiction of another registrar of companies or out of state.

25 July 2025 After shifting the **registered office of a company**, and completing the required **ROC formalities**, you must **intimate various authorities and stakeholders**. The exact steps vary depending on whether the move is **within the same city**, **within the same ROC**, or **to another state**, but **the post-ROC intimation list is largely the same**.

### ✅ **Authorities/Departments to be Informed After Shifting Registered Office:**

---

### 🏢 1. **Income Tax Department**

* Update new address in:

* **PAN database** (via Form 49A on NSDL or UTI portal).
* **Income Tax e-Filing Portal** under “Profile Settings.”

### 💼 2. **Goods & Services Tax (GST)**

* Amend **core fields** (Principal Place of Business) via GST portal.
* Submit:

* **New address proof** (e.g. rent agreement or electricity bill).
* **Board Resolution** if required.

---

### 💳 3. **TAN (Tax Deduction Account Number)**

* File **Form 49B** to update address with NSDL/UTI.

---

### 🏭 4. **Factory/Shop Licenses**

* Apply for:

* **New Factory License** (Factories Act, 1948), if applicable.
* **Shop & Establishment License** in the new jurisdiction.
* **Cancel old license**.

### 🧾 5. **Professional Tax Department**

* If applicable in the new state/city, register and update professional tax details.

### 🏦 6. **Banks**

* Update:

* **Company address** in bank records.
* **KYC documents**.
* Submit updated **COI**, Board Resolution, and utility bill.

### 🧑‍💼 7. **ESI & EPF Authorities**

* Inform **ESIC** and **EPFO** offices of address change.
* **Apply for transfer** of jurisdiction if needed.
* Update records for employee compliance.

### 🧾 8. **DGFT (if applicable)**

* If your company has **Import Export Code (IEC)**:

* Update address through DGFT portal using DSC.

### 🌐 9. **Domain Registrars, Website, and Email Signatures**

* Update address on:

* **Official website**
* **Email footers**
* **Letterheads**, invoices, business cards, etc.

---

### 🔐 10. **Other Licenses/Registrations**

Depending on your business:

* **FSSAI**, **SEBI**, **Customs**, **Legal Metrology**, **MSME/Udyam**, etc.
* Each authority has its own process and portal for address update.

### 📢 11. **Internal and External Stakeholders**

* Inform:

* Clients, suppliers, service providers
* Auditors, tax consultants, CS, lawyers
* Employees (internal circular)
