26 July 2024 When an advertising agency bills a client for print media services, there are specific guidelines and details that need to be followed to ensure compliance with GST laws and proper invoicing practices. Here’s a step-by-step guide on how to bill a client for print media:

### **1. **Invoice Details**

**Essential Components of the Invoice:**

- **Agency Information**: Include the name, address, and GSTIN of the advertising agency.
- **Client Information**: Include the name, address, and GSTIN (if applicable) of the client.
- **Invoice Number and Date**: Unique invoice number and date of issue.
- **Description of Services**: Clearly describe the print media services provided (e.g., newspaper ads, magazine ads, brochures, etc.).
- **Quantity and Unit Price**: Mention the quantity of media space bought and the unit price or rate.
- **Total Amount**: Calculate the total amount for the services provided before GST.

### **2. **GST Implications**

**GST Applicability and Rate:**

- **GST Rate**: Print media advertising services typically attract **18% GST** (9% CGST + 9% SGST) under most circumstances. However, it's essential to verify the applicable rate as it may vary based on specific scenarios or government notifications.
- **Reverse Charge Mechanism**: If the print media services are provided by an unregistered person or outside India, the reverse charge mechanism might apply. In such cases, the recipient of the service (the client) would be liable to pay GST.

**Invoice Breakdown:**

- **Pre-GST Amount**: Show the amount before GST.
- **GST Amount**: Calculate the GST based on the applicable rate and show it separately.
- **Total Invoice Amount**: Sum of the pre-GST amount and the GST amount.

**Example Invoice Calculation:**

If the advertising agency is charging ₹50k for print media services:

- **Pre-GST Amount**: ₹50k
- **GST @ 18%**: ₹50k × 18% = ₹9k
- **Total Amount Payable**: ₹50k + ₹9k = ₹59k

### **3. **Invoice Format**

Here’s a sample format for the invoice:

**[Agency Name]**
**[Address]**
**[City, State, PIN Code]**
**GSTIN: [Agency GSTIN]**

**Invoice No:** [Unique Invoice Number]

|-------------|--------------------------|--------------|----------------|------------|
| 1 | Print Media Advertising | [Quantity] | ₹[Unit Price] | ₹[Amount] |

**Subtotal**: ₹[Subtotal Amount]
**GST @ 18%**: ₹[GST Amount]
**Total Amount Payable**: ₹[Total Amount]

**Terms of Payment**: [Payment Terms]
**Bank Details**: [Bank Account Details]

---

### **4. **Documentation and Compliance**

- **Maintain Records**: Keep copies of all invoices and related documentation for record-keeping and compliance purposes.
- **File GST Returns**: Ensure that the invoice details are accurately reported in your GST returns (GSTR-1) and that the GST collected is deposited to the government.

### **5. **Client Considerations**

- **Verify GST Registration**: If the client is registered under GST, they can claim the input tax credit (ITC) on the GST paid, provided they have a valid GST invoice.
- **Reverse Charge**: If applicable, ensure the client is aware of any reverse charge obligations.

### **Conclusion**

To bill a client for print media services, ensure that the invoice includes all necessary details, accurately calculates GST, and adheres to GST compliance requirements. This not only helps in maintaining proper financial records but also ensures that both the agency and client fulfill their tax obligations. For specific or complex scenarios, consult with a GST professional or tax advisor.
