21 July 2024 Setting up inventory entries in Tally ERP 9 for a pharmaceutical business involves several steps to ensure accurate accounting of stock, purchases, sales, and other transactions. Here’s a simplified guide to help you get started with entering transactions related to inventory in Tally ERP 9:

### Setting Up Stock Items:

1. **Create Stock Groups and Stock Categories:**
- Navigate to `Gateway of Tally` → `Inventory Info` → `Stock Groups` and create groups like Medicines, Medical Supplies, etc.
- Similarly, set up Stock Categories under each group for better categorization.

2. **Create Stock Items:**
- Go to `Gateway of Tally` → `Inventory Info` → `Stock Items` and create items for each product you sell or purchase (e.g., Paracetamol Tablets, Bandages, etc.).
- Enter details like Name, Unit of Measurement (e.g., Nos, Boxes, Bottles), and Rate.

### Entering Purchase Transactions:

1. **Purchase Order:**
- Go to `Gateway of Tally` → `Inventory Vouchers` → `F4: Purchase Order`.
- Enter the details of the items ordered from your suppliers.

2. **Purchase Invoice:**
- Once goods are received, enter the Purchase Invoice:
- `Gateway of Tally` → `Accounting Vouchers` → `F9: Purchase`.
- Select `Alt + I` to enter invoice details including supplier name, invoice number, date, and details of stock items received.

### Entering Sales Transactions:

1. **Sales Invoice:**
- Go to `Gateway of Tally` → `Accounting Vouchers` → `F8: Sales`.
- Enter customer details, invoice number, date, and details of items sold.
- Select the appropriate stock item from the list.

### Stock Transfer and Adjustment Entries:

1. **Stock Transfer:**
- If transferring stock between locations or warehouses:
- `Gateway of Tally` → `Inventory Vouchers` → `F7: Stock Journal`.
- Transfer items from one stock location to another.

2. **Stock Adjustment:**
- To adjust stock for damages or losses:
- `Gateway of Tally` → `Inventory Vouchers` → `F7: Stock Journal`.
- Use this voucher to write off damaged stock or make adjustments as necessary.

### Reports to Monitor:

1. **Stock Summary:**
- To view current stock levels:
- `Gateway of Tally` → `Display` → `Inventory Books` → `Stock Summary`.

2. **Stock Item Reports:**
- Analyze sales, purchases, and stock movement:
- `Gateway of Tally` → `Display` → `Inventory Books` → `Stock Item`.

### Additional Tips:

- **Backup Data Regularly:** Use Tally's backup feature (`Alt + F3`) to prevent data loss.
