First Time Import Documentation

Can anyone inform me about what are the Documents required for First Time Import, ....I have private limited company already taken GSTIN and IEC code.......what other requirements i should complete before placing any order and what is required for custom clearance????

For first-time importers, here is a complete documentation checklist:

1. Importer's Own Documents (One-Time Setup):
- IEC (Importer Exporter Code): Obtain from DGFT (dgft.gov.in) — mandatory for all imports
- GST Registration Certificate
- PAN Card of the importing entity
- Bank Account details and AD Code registration with customs (register your bank's Authorised Dealer code with the customs port through your bank)

2. Shipment-Specific Documents (for each import):
- Commercial Invoice: From the foreign supplier showing descripttion, quantity, unit price, total value, Incoterms, country of origin
- Packing List: Detailed list of items, weights, dimensions, number of packages
- Bill of Lading (for sea freight) / Air Waybill (for air freight): Issued by the shipping line/airline
- Certificate of Origin: To determine customs duty rate (especially important if preferential duty applies under trade agreements like India-ASEAN FTA, India-Japan CEPA etc.)
- Insurance Certificate: If insurance is arranged by the importer

3. Customs Clearance Process:
- File Bill of Entry (BE) on ICEGATE (icegate.gov.in) through a CHA (Customs House Agent) — recommended for first-time importers
- Pay applicable customs duties: BCD (Basic Customs Duty) + Social Welfare Surcharge + IGST on import value
- IGST paid on import is available as ITC in GST returns (show in GSTR-3B Table 4)

4. Specific Items:
- Food items: FSSAI import clearance
- Drugs/pharma: CDSCO clearance
- Electronics: BIS/WPC registration for certain items
- Restricted items: Import licence from DGFT

5. Hire a CHA: For first-time imports, engaging a licensed Customs House Agent is strongly recommended — they handle ICEGATE filing, duty payment, and coordination with customs officers.
