Form 185 is the prescribed format for Recognised Provident Funds (RPFs) to maintain detailed annual records of each subscriber's account, as required by Rule 294 of the Income-tax Rules, 2025.

The trustees or authorised officers of a Recognised Provident Fund trust are required to maintain Form 185. It is not required to be filed by individual employees or subscribers.

While Part-A of Form 185 is for maintaining records, an abstract or summary of this information (Part-B) must be filed annually with the Assessing Officer.

Form 185 is required to be prepared at intervals not exceeding twelve months, reflecting the annual position of each subscriber's provident fund account.

Form 185 records subscriber particulars, opening and closing balances, and month-wise contributions, interest credited, and withdrawals.

Form 185 ensures compliance with conditions for recognised provident funds, strengthens tax verification, and provides a consolidated summary for income-tax purposes regarding contributions, interest, and withdrawals.
