Sorry i did not quite understood your querry,

Data validation is for verifying if the the data entered in a cell is of the required criteria.

eg: in a cell given for writing name, if someone types a number by mistake, then data validation will not accept it, prompting the user to correctly enter the data.

please elaborate your issue.

I request all of you again to go through some basic excel book and then ask questions.

vlookup, pivot tables, VBA , macros, etc are vast subjects, it will simply force me to copy entire chapters from the books and paste here, which will not serve your purpose.
