In case of loss of original bill, shopkeeper do issue duplicate, triplicate bills... nd many a times, our clients do file all the bills, i.e original (which he may found later), duplicate, etc....

Moreover its not that easy to keep the numbers in ur mind for so long, that u shd remember that whether the new number is same to old one or not....

While going through the purchase order of a company you should bear following points in mind.

1). Purchase order should be approved by company's authorised personnel.

2). Terms & conditions of purchase can be taken from the purchase order.

3). Time period of completion of contract as well as mode of payment is mentioned in the purchase order.

4). any change in material terms should be go through.

The client  may keep duplicate copy of a bill. So if u get two bills then do check whether the same has entered only once in the books. if it has been entered twice then it is a matter of concern

Moreover check the internal control system of generating GRN at the time of receiving materials. and whtehr the GRN no. is computer generated. The system should be such that two GRn cannot be prepared from the same number.

You can also check the entry in the gate at the time of  entry of Lorry or trucks when the goods are received.

These are the few cross checks which can be done.
