Hi Rahul,

Thanks for sharing the details of your issue — and you're right to feel frustrated when the GST portal rejects a document without clearly stating what exactly is wrong. Let’s break it down and resolve this.

✅ First, What You've Done Right:

  • You've provided a declaration by both partners authorizing Mr. Pawan Kumar.

  • You've included an acceptance from the authorized signatory.

  • The document is signed by both partners.

  • Stamp of the firm is affixed (as you mentioned).

This is mostly correct in content, but the rejection might be due to format, execution, or missing legal formalities. Let’s identify the exact possibilities.

🔍 Possible Reasons Why GST Portal Rejected the Document

1. 🖋️ Document Not Notarized or on Letterhead

  • For partnerships, declaration of authorized signatory should ideally be on the firm's letterhead.

  • Also, in many cases, the GST officer expects a notarized declaration (especially in sensitive cases or if scanned clarity is low).

2. 📄 Wrong File Format or Low Scan Quality

  • File must be PDF, less than 100 KB, and clearly scanned.

  • Blurred or unclear signatures/seals often cause rejections.

3. 🔖 Stamp and Sign Missing in Acceptance Section

  • Both the declaration section and acceptance section should be:

    • Signed

    • Stamped

    • Dated and Place mentioned

Sometimes, people forget to stamp the acceptance part (by the authorized person), which leads to rejections.

4. 📝 Wording not matching GST standard format

Officers sometimes expect a format that closely follows CBIC guidelines. While your format is mostly fine, here's a slightly corrected and accepted version below.

✅ Next Steps for You

  1. Re-draft the declaration using the above format.

  2. Print on firm’s letterhead.

  3. Sign & stamp in all relevant places.

  4. Scan as PDF (clear, max 100KB).

  5. Optionally, get it notarized (may not be required, but helps avoid rejection).

  6. Upload again on GST portal.
