In GST maintain invoices or bill in excel instead of without print

Respected sir

please advice us we can maintain bill in excel sheet due to my all customer b2c (not b2b) and customer not requested us for bill as hard copies.

I have GST number withouth throsuld we have taken on vulantry basis please confirm avoid of any future letigation

Excel can be used to prepare invoices, but GST-compliant invoices are mandatory even for B2C. They must follow Rule 46, be serially numbered, and properly stored. Voluntary registration requires full GST compliance and record maintenance.

GST law allows books and records, including invoice records, to be maintained in electronic form. However, only keeping sale details in Excel is not enough unless a proper GST invoice/bill with prescribed particulars under section 31 read with Rule 46 is issued and preserved. Since you are voluntarily registered, normal GST compliance applies to you also. Hard copy may not be necessary if invoices are properly generated and stored digitally, but they should be serially numbered, complete in all respects, retrievable on demand, and preserved for the required period.

Excel alone is NOT sufficient.

You can prepare bills in Excel, but you must comply with GST invoicing rules.

Key compliance points

  1. Issuance of Invoice (Mandatory)
    • Under GST, even for B2C, you must issue a tax invoice or bill of supply.
    • Customer asking or not asking is irrelevant.
  2. Format of Invoice
    Invoice must contain:
    • GSTIN
    • Invoice number & date
    • Descripttion of goods/services
    • Value & tax (CGST/SGST)
    • Place of supply (if required)
  3. Excel Usage
    • You can prepare invoices in Excel
    • But you must ensure proper serial numbering & records
  4. Record Maintenance
    • Maintain proper books of accounts
    • Keep soft copies or print copies
    • Preserve records for 72 months (6 years)
  5. Voluntary Registration
    • Once registered under GST → all compliance applies
    • You cannot avoid invoicing just because turnover is below threshold
