What are the top best accounting software for Pvt ltd or proprietor doing export business ?

I am planning to start a Sole proprietorship for export and later if the business expands then convert it to a Pvt Ltd.

Being a Sole proprietor the nature of the transaction would be:- making or purchasing products from India and then selling to other countries either through visiting that country's trade fair or transporting the product directly to that country's retail shops.)
But I don’t know what are the names of the accounts I must maintain.
someone told me that you can use tally but I find it difficult to use for someone who has less knowledge of accounts. so I am looking for free or less monthly fee accounting software also should not use coulud based date processing due to security issues (run and use only laptop). I did lots of research on the internet but on quora, different people give different reviews and it's difficult to choose which one is best for me.

here is the list :-

Great question! Choosing the right accounting software for a sole proprietorship (especially in export business) that can scale to a Pvt Ltd later is crucial. Since you want a desktop-based solution (non-cloud) due to security concerns, and prefer something user-friendly with possibly low or no subscripttion fees, here’s a breakdown of your options with pros & cons tailored for your needs:

Top Accounting Software for Export Business (Non-Cloud / Desktop)

Software Desktop or Cloud Ease of Use Export Features / Multicurrency Cost & Notes
Tally ERP 9 / TallyPrime Desktop + Cloud option Moderate (steep learning curve initially) Yes (good export features, multi-currency) One-time fee/license; popular in India
Busy Accounting Software Desktop + Cloud option Moderate Yes (multi-currency & export features) Affordable license fees
WinFA Desktop Moderate Supports export business Low cost, Indian-focused
IDOS Desktop Easy Basic export invoicing Low cost (₹250/month approx)
QuickBooks Desktop Pro Desktop User-friendly Good export & multi-currency One-time purchase; popular worldwide
Marg ERP Desktop Moderate Export & multi-location support Good for trading/export businesses
Logic ERP Desktop Moderate Good export handling Affordable, Indian market focused

Other options (mostly Cloud-based or with Cloud options):

  • Zoho Books (cloud, great UI but not purely desktop)

  • QuickBooks Online (cloud-based)

  • ClearTax (GST-focused, mostly online)

  • NetSuite, Sage Intacct, Xero, FreshBooks (mostly cloud, premium pricing)

  • Vyapar, Bearbook, ProfitBooks (mostly for small retail, mobile focused)

Things You Need to Maintain in Accounting for Export Business:

  1. Sales and Purchase Ledger

  2. Inventory / Stock Register

  3. Export Invoices with relevant GST & Customs info

  4. Foreign Currency Receipts and Payments (Multi-currency if possible)

  5. Bank Reconciliation (including foreign currency accounts)

  6. Expense Ledger (freight, insurance, commission)

  7. GST Returns and Export-related documentation

  8. Profit & Loss, Balance Sheet

  9. Compliance for Import-Export licenses (IEC) & documentation

My Recommendations Based on Your Criteria:

  • If you want purely desktop + Indian market support + export features:
Busy Accounting Software or Tally ERP 9 (once you get comfortable) are great choices.

  • If you want something very easy to start with, low cost and desktop only:
IDOS or WinFA could be good starting points.

  • For scaling later to Pvt Ltd and more complex accounting:
TallyPrime or QuickBooks Desktop Pro are scalable options.

Bonus Tips:

  • Initially, focus on software that supports multi-currency and export invoicing.

  • Look for software with GST compliance and easy reporting.

  • Try free trials or demos before buying.

  • For learning basics, you might want to consult an accountant who can set up your chart of accounts.

  • Consider offline backups and strong data security measures since you prefer not to use cloud.
