Here is a standard, professional format for a Debtors Reconciliation Statement along with a template for a Debtors Reconciliation Certificate.

1. Debtors Reconciliation Statement Format

This format helps you reconcile the balance as per your books of accounts with the balance as per the debtor's books.

Name of the Company: [Your Company Name]

Reconciliation for the Period: [e.g., FY 2025-26]

Name of the Debtor: [Debtor Name]

Particulars Amount ($) Amount ($)
Balance as per our Books (Ledger Account)   [XX,XXX]
Add: Invoices raised by us but not recorded by debtor XX,XXX
Add: Payments recorded by debtor but not yet received/cleared by us XX,XXX
Add: Credit notes issued by debtor but not taken into our account XX,XXX
Sub-Total (A)   [XX,XXX]
Less: Payments received by us but not yet recorded by debtor (XX,XXX)
Less: Credit notes issued by us but not recorded by debtor (XX,XXX)
Less: Goods returned by debtor but not yet processed by us (XX,XXX)
Sub-Total (B)   [(XX,XXX)]
Balance as per Debtor's Books / Confirmation   [XX,XXX]

2. Debtors Reconciliation Certificate Format

If an auditor or management requires a formal declaration/certificate, you can use the following draft:

DEBTORS RECONCILIATION CERTIFICATE

TO WHOMSOEVER IT MAY CONCERN

This is to certify that we have verified the books of accounts, ledgers, and relevant documents of M/s [Your Company Name] having its registered office at [Your Address].

Based on our verification and information provided to us, the outstanding balance of M/s [Debtor Company Name] as of [Date, e.g., March 31, 2026] has been reconciled. The details of the reconciliation are as follows:

  • Balance as per M/s [Your Company Name]: $ [Amount]

  • Balance as per M/s [Debtor Company Name]: $ [Amount]

  • Net Difference (if any): $ [Amount]

The variance of $ [Difference Amount] is primarily due to [briefly mention reasons, e.g., timing differences in payment clearance / goods in transit] and has been fully reconciled as attached in the annexure.

In our opinion and to the best of our knowledge, the accounts reflect a true and fair view of the outstanding receivable position.

For [Your Company Name / Audit Firm Name]

(Authorized Signatory / Chartered Accountant)

Name: [Name]

Designation: [Designation]

Date: [Current Date]

Place: [Place]
