Posting of Annual Returns to Shareholders

Dear Mr. Ankur Sir,

Ours is a closely held public limited compnay incorporated in the year 1946. There are about 5000 shareholders Most of the shareholders are now either non exsting or migrated from their places or the next generation is not responding. In this case, there is no provision in the compnaies act either as to trace out the shareholders or to bar from sending notices/ annual reports perodically to such shareholders. This printing and mailing cost alone is huge.  Is there any alternative ways in this acute business recession to reduce cost. Pl suggest me.

Service of annual report to the registered members is necessary read with section 219.

As per section 53(3) a document advertised in a newspaper circulating in the neighborhood of the registered office of the company shall be deemed to be duly served on the day on which the advertisement appears, on every member of the company who has no registered address in India and has not supplied to the company an address within India for the giving of notices to him.

You may use section 53(3) suitably.
