Hello,

 

To Maintian our Hard copy of the sales, is it necessary to print all the Sales Invoice? The monthly invoice go around 400-500.  Is it fine to have it in A5 size or is it recommended in A4 size.

Under GST law (Section 35 of the CGST Act 2017 and Rule 56 of CGST Rules), here is what is actually required:

  1. Hard copy is NOT mandatory. You are legally permitted to maintain digital records. The law specifically allows electronic records maintained in GSTR-compliant systems. Many businesses with 400-500 monthly invoices maintain only digital records.
  2. Record retention period: All records (whether physical or digital) must be retained for 72 months (6 years) from the due date of filing the annual return. For FY 2024-25, records must be kept until at least December 2031.
  3. If you do print: Invoice size is not prescribed under GST. A4 and A5 are both acceptable. The content requirements (GSTIN, tax amount, HSN codes, etc.) matter more than the size. However, A4 is more practical for filing and audit verification since it matches standard document sizes used by GST officers.
  4. Digital alternative: You can use GST-compliant accounting software to generate and store invoices. The invoices must be searchable and retrievable for audit purposes. An export to PDF or generation via your software qualifies.
  5. Physical backup recommendation: For businesses with high invoice volumes, maintaining monthly batch printouts (a physical index with digital storage) balances compliance risk with practicality.
