Issue Importing GSTR1_Excel_Workbook_Template_V2.1 into GST Offline Tool V3.2.2 - Date Format Error

Hi all,

I'm facing an issue while importing the GSTR1_Excel_Workbook_Template_V2.1 Excel file into the GST Offline Tool Version V3.2.2.

When I try to import the file, I receive the following error:


Error Message:

Following documents contain invalid inputs:
Possible Reasons:
• Invalid date format provided for the inputs
• Did not provide values for required fields
• Given 0 value for invoice number
• Given 0 value for gross advance received (Gross Advance Received can be saved as 0 only in tool)
• Given 0 value for taxable value (Taxable value can be saved as 0 only in tool)
• Given negative value for invoice/note value or taxable value or tax amounts
• The HSN code mentioned is not present in GST HSN master
Please check for mandatory fields, validations, date formats (dd-mmm-yyyy) and invoice/note number

Error Rows:

  • B2B, SEZ, DE - Row: 5

  • EXP - Row: 5, 6, 7, 8

  • EXPA - Row: 5


I have checked all the data and found correct. I think it might be issue with date format?! The date format in the Excel sheet is dd-mmm-yy, but I am unable to change it to dd-mmm-yyyy because the date fields are locked in the template.

Has anyone else encountered this issue? Is this the issue with date? Is there a workaround to fix the date format, or a way to unlock and correct the fields?

Would really appreciate any guidance from the experts here.

Steps to resolve Date Format error

  • Copy your column of Dates in a separate (New) Excel Sheet 
  • Go the corresponding row in a separate Column  of the sheet &  Apply Formula to the same row of preceding Date Column as 

              =TEXT(Original Cell Address,"DD-MMM-YYYY")

Press Enter,

  • In this way all your earlier dates will be converted into the desired format (DD-MMM-YYYY).
  •  Copy this  Date Column of Excel Sheet  and paste the same by applying  Paste Special command (with Value & Source Formatting) to  the  Date column of the GSTR1_Excel Template V2.1
  • This will solve the validation error.
