How do CA firms manage pending client documents during GST and tax filing?

Hello everyone,

I would like to understand how CA firms currently manage document collection from clients, especially during GST return filing, income tax filing and audit work.

For firms handling multiple clients, I imagine some common challenges might include:

- Following up when clients submit only part of the required documents.

- Tracking which documents are still pending for each client.

- Managing documents received through WhatsApp, email and other channels.

- Asking clients to resend documents when a file is missing or incorrect.

I am working on a small software project focused on making client document collection and tracking easier for accounting and CA practices.

I would appreciate insights from practising CAs and people working in CA firms:

1. How do you currently request and collect client documents?

2. How do you track pending documents across multiple clients?

3. What is the most time-consuming part of this process?

4. Would a simple system for requesting documents, receiving uploads and tracking pending items be useful in your practice?

I am interested in understanding real-world workflows and improving the solution based on practical feedback.

Thank you for sharing your experience.

Quick Summary
This discussion explores how Chartered Accountant (CA) firms currently handle the collection and tracking of client documents, particularly for GST and income tax filings. It highlights common challenges like incomplete submissions, scattered communication channels (email, WhatsApp), and the difficulty of tracking pending items across numerous clients. The conversation also touches upon potential software solutions to simplify this document management process for accounting practices.

CA firms can manage pending client documents using client-wise checklists, Excel trackers, and regular email or WhatsApp reminders.

For each GST return, income tax filing, or audit, the team should list the required documents based on the assignment. For GST work, these may include sales and purchase records, invoices, and credit or debit notes. Each document can be marked as received, pending, or requiring clarification.

The tracker should record the responsible team member, last follow-up date, next reminder date, and filing deadline. Received files should be saved in clearly labelled client folders, even when they arrive through different channels.

Managing multiple clients becomes difficult when documents and conversations are scattered across emails, WhatsApp, and folders.

A simple document-tracking system could bring document requests, secure uploads, status updates, and reminders into one place. It should show pending documents client-wise and avoid duplicate data entry. Keeping it simple is essential so it saves time without adding to the team's workload.

Thank you for sharing such a practical explanation.

The points about client-wise checklists, tracking pending documents, and managing files received through different channels are exactly the workflow challenges I'm trying to understand.

I'm building DocReq, a small tool for creating document requests, receiving files through a shared upload link, reviewing submissions, and tracking completion.

May I ask one follow-up question? In your experience, which causes the biggest difficulty for a CA firm: getting clients to submit documents on time, identifying which documents are still pending, or managing files received through multiple channels?

Your insights would help me prioritise the right features rather than build something that adds more work.
