Can cash balance be negative????

Imagine a company form of organisation, where the accountant is a jack of all trades.....

He manages the business, takes care of the banking activities .....manages bills receivables /payables....

with this background follow up the case......

  • on 30th march the cash balance of the company showed a balance of zero rupees,,,,...
  • and the company's bank balance stood at Rs. 19200 on the same day.
  • on the same day the accountant goes to the bank to draw some money to make up his cash balance.
  • he draws Rs. 5000/-
  • as soon as he withdrew the money, he met his company' s trade creditor to whom the company owes Rs. 2000/- for a very long time.
  • the creditor did not let the accountant go without paying him the money.
  • the brilliant  accountant paid him the money and made a notional journal entry in his mind....... so that he could pass the entry as soon as he reached the office.
  • The entry he notionally passed was:-
  • Cash a/c Dr.  5000 To Bank a/c Cr. 5000
  • Sundry trade creditor Dr. 2000 To Cash A/c Rs. 2000
  • So his notional balance was Rs. 3000/-
  • On the way back to office, unfourtunately the accountant met with an accident and died on the spot. There was no trace of cash when the office people rushed to the spot. All they could find was the bank pass book and the angry creditor.
  • all set and done....... the same night, an accounts assistant took up the role of the dead accountant  and passed the journal entry..... (he was aware of the payment to creditor)
  • the journal entry was Sundry trade Creditor A/c Dr. 2000 To Cash A/c Cr.  2000
  • he could not pass the entry for cash receipt becoz he could'nt find any cash.....
  • So the real balance according to the cash book was RS(2000)/-
  • (a negative cash balance of rs. 2000/-)

d new accountant should first make d balnce of bank Acc. to Bank n Acc. to Books same by passind d entry:

Cash a/c Dr. 5000/-

  To Bank a/c 5000/-

nw as he doesn't realise ne Cash den it could meant dat during d course of accident it mite by stolen by smone

n it is sure dat cash of rs. 3000/- (as payment to Creditors of rs. 2000/- already made) has been lost smwhere (by way of theft or smting else; wtever it is)

so d entry for it should also b made like

loss By Theft Dr. 3000/-

   To cash 3000/- (as d loss ws in d form of cash)

d entry for payment to creditors ws already made as d new accountant ws beawre of d payment made by dead acct. to creditors

he made d entry:

S. creditors Dr. 2000/-

    To cash 2000/-

nw all dis made d csh balnce Zero. . .

 

in your question u should first make d entry of cash withdrawn( nt cash rcvd, as it is nt rcvd in actual) it will clarify d balnce of bank bth acc to bank n Books

 

otherwise u hv to make dis entry at d time of prepaing BRS or closing of Books of accts.

after dis dentry for payment to creditors should b made n

at d end entry of loss of cash should also b made as d loss ws  don in actual

 

dis will give no negative Cash Balnce or Zero cash balance ..  .. .  .

i had deposited the f-form against stock transfer in to dvat department quartly instead of monthly .then is there any panalty  for the same

plz sugest me

 

 

no dere is no penalty chargeable if u have deposited dat f-form per quarter n before d end of quarter say if u hv deposited d form for 1st quarter on or before 30th June den no penalty will b chargd bt after it a penalty will b chargd ovr it for d delay of each day u made. . .
