Audit of petrol pump

This query is : Resolved

25 November 2015 what is the treatment for diesel used for 'generator' on petrol pump. it should be shown at cost price. but meter runs only @ selling price. give your views about correct treatment ?

15 July 2024 In the audit of a petrol pump, the treatment of diesel used for generators should typically be handled as follows:

1. **Accounting Treatment**:
- **Purchase and Consumption**: Diesel purchased for use in generators should be recorded as a purchase in the books of accounts at its cost price. This cost includes the purchase price of diesel plus any applicable taxes or duties.

- **Consumption Recording**: When diesel is consumed in the generator, it should be accounted for as an expense in the income statement. The amount recorded should reflect the cost of diesel consumed based on the quantity used and the cost per liter at which it was purchased.

2. **Billing and Metering**:
- **Metering**: The meter at the petrol pump runs based on the selling price of diesel. This means it records the revenue generated from sales to customers at the prevailing market rate.

- **Separate Tracking**: Diesel used for the generator should be separately tracked and accounted for. This ensures that the expenses related to generator operations are accurately reflected in the financial statements.

3. **Recording in Financial Statements**:
- **Cost of Sales**: The cost of diesel consumed for generator use should be treated as part of the cost of sales or as an operating expense in the income statement, depending on the accounting policies of the petrol pump.

4. **Tax Implications**:
- **Input Tax Credit (ITC)**: If the petrol pump is eligible for claiming input tax credit (ITC) on diesel purchases, it should be accounted for accordingly. Proper documentation and compliance with GST (Goods and Services Tax) or other applicable tax laws are essential in this regard.

### Correct Treatment:

To summarize, the correct treatment involves:

- Recording diesel purchases at cost price in the books of accounts.
- Separately tracking and recording diesel consumption for generator use.
- Reflecting diesel consumption as an expense in the income statement.
- Ensuring compliance with tax regulations, including proper documentation for input tax credit if applicable.

By following these practices, the petrol pump can maintain accurate financial records and ensure transparency in accounting for diesel used in generators. This approach also supports effective audit processes by providing clear documentation of expenses and compliance with accounting standards.
